Basics: Data quality is king

 

At the moment, the Pensaki ® app covers a subset of the Latin1 character set, hereby covering diacritical marks of most important European languages like German, English, French and Italian. The friendly robots will "hand" write your data, line by line. Well, at least as long as the content doesn't violate our terms & conditions. We are not performing any spell checking or verification of postal addresses.

Your data quality is of pivotal importance for a smooth Pensaki experience as the Pensaki App will not accept any erroneous data. There are three types of potential sources of erroneous data:

Bad Data Case 1: using INVALID CHARACTERS such as ♛►≹≉‡૱❄︎

Bad Data Case 2: EXCEEDANCE of accepted field lenghts (no we don't print anything, but the systems needs that)

Bad Data Case 3: including NON-PRINTING CHARACTERS

 

Our mission is to make the import process as easy as possible for our customers. Therefore bad data can be corrected directly online within the table (see below) or via an export process of the bad data. Simply correct the bad data offline within the table and restart the import process. As a result any erroneous data will be replaced automatically.

Depending on the size of the file, the import can take several minutes. Please import your data exclusively through the template provided by us (.xls format) and don't delete any tabs etc.

 

Basics: Import Checklist

 

1. You have used the provided xls template, without making any modifications?

1.1 you did not erase the first sheet, right?

1.2 you did not change the order of the sheets, right?

1.3 you did not change the format of the second sheet, right?

2. Your data does not include any "fancy" special characters?

3. Did you verify that the total number of characters per cells is NEVER exceeding the allowed maximum field length, including editing characters such as comma and spacings? The Pensaki App will automatically cut-off all data that is exceeding the field lenght limitation.

4. The text does not include any non-printing characters?

5. Did you check that the salutations/greetings are correct, possibly adding a comma at the end? 

 

By the way, Microsoft Excel is a great application for anyone who has to work with a lot of numbers, but its usefulness actually extends beyond large databases; it can do a lot of great things with text, too.

Personalization Drastically Improves Response Rates

 

You are using Pensaki because you know how important personalization is for your marketing campaigns. Personalization can drastically improve response rates and there are many studies available to prove the increased results personalization generates. "Handwritten" documents are certainly the most personal way of communication, especially in our digital age.

The personalization of the content is for sure the most important success factor. As a standard you can personalize the salutation lines. With Pensaki it's easy to include additional personalization segments within your "handwritten" documents.

e.g. simply put {{url}} into the text as a placeholder and import the data via the provided Xls template. You only need to make sure that the total maximum field length per text line is not exceeded. By using the preview function you will be able to check that your data is correct.. 

Certainly you can change the names within the import template accordingly. It's only important that you use words that are written in lower case without spacings.

e.g.

  • field H3 => url and within the text {{url}}
  • field I3 => city and within the text {{city}}

1. Preparing the data

The physical borders of the “hand written” lettering are defined by the desired format (letter in envelope, A6 postcard, etc) as well as by the writing utensil. The following spreadsheet shows the maximum amount of characters that are possible per field, including spaces. Anything exceeding these lengths will be automatically cut off by the system!

2. Importing data

After you have created the draft of your text, you can continue with the data import right away. You can correct the text later as often as needed.

3. Alright, time for a little coffee break ...

Depending on the size of the file, the import might take 10 minutes at times because of different analysis concerning special characters, field lengths and so on.

 

4. Automatic error analysis & import of corrected data sets

Now you can conveniently export the error analysis, correct the errors in the spreadsheet and simply import again. The Pensaki system automatically replaces faulty data sets. It couldn't be easier.

Possible error messages:

  • Yellow = Warning & suggestion (for example to refrain from using strung together capital letters)

  • Red = The error needs to be corrected, otherwise the mailing can't be created (for example if non authorized Latin1 characters are used (ƒå „„=•∑√ )

Yeah! You made it.... Now you only need to check the mailing in the preview function and commission it.
